Constituent Activities

The Constituent Activities form is an integral part of the contact management process within CAMS.  Track events/activities that have taken place or need to be scheduled for future action (phone calls, letters, etc.). Items placed here can be displayed in To-Do lists generated through Constituent Correspondence. Activities can be added individually or as a predetermined group (see Development >Setup >Define Activity Sequences). Constituent activities are maintained in the Development >Constituent >Activities >Constituent Activities window.  

Note: Mail Merge Export and Email Activities created directly on the constituent’s account will be considered Constituent Correspondence.  This is important to know when you access Development >Reports >Correspondence.  These activities will only display in the Constituent Correspondence report section.  Mail Merge Export and Email activities created from batch or ledger entries will be considered Ledger Correspondence and will only display in the Ledger Correspondence report section.

To add a single activity:

  1. In the Constituent Activity form, right-click within the list box to display the activity entry form.
  2. Select an activity from the drop-down list (Development >Setup >Activity Lookup).
  3. Enter the due date of the activity.
  4. Enter any pertinent notes.
  5. If the activity is being added as it is occurring (i.e. phone call), enter the completion date. Otherwise leave the field blank at this time.
  6. Select the Activity Type: To-Do, Export, or Email.  If Export is selected for activity type, then enter the Document Name (field only appears after clicking Export).  If Email is selected, then select the email template from the drop-down list.   7. Click Add to save the entry or Cancel to exit the form without saving.

To add a sequence of activities:

  1. Click the Sequences button.
  2. Select the Group and its associated activities (previously defined in Create Activity Sequences).
  3. Enter Start Date (Default is current date).
  4. Click Load to save additions and return to the Activities screen.  Use Cancel to exit without saving changes.

To update/edit an existing activity:

  1. Double-click the activity to be changed.
  2. Make appropriate entries or adjustments, such as completion date.
  3. Click Update to save changes or Cancel to exit without saving changes.
