Define Email Templates

Define email templates:

  1. Highlight appropriate group and click the Templates tab. At the top of the form you will see the group information. Verify this information to ensure that you are working with the right group.
  2. Right-click in the data grid to bring up a new template entry from.
  3. Enter description of the email activity.
  4. Select address type to appear in the "From" field of your email application (i.e Microsoft Outlook).
  1. If Process User is selected, CAMS will automatically populate the field with the user's email address.
  2. If Fixed Address is selected, you will need to provide a value in the From Address field (appears on the form only after selecting Fixed Address). This address will be inserted in the "From" field each time this particular email is sent.
  1. Enter the Subject for the email. This value appears in the email Subject line.
  2. If the address to which a reply is to be sent is different from the "From" address, then enter that value in the Reply to field. When the recipient of your email sends a reply, it will go to the address entered here.
  3. Identify the Importance level of the message (High, Normal, Low). "Normal" is the default value for this field.
  4. Bcc Sender: If you wish to send a copy of the email to the sender. This is the user logged into CAMS Enterprise and physically running the correspondence process. The email address used comes from this individual's user data in CAMS Manager (CAMS Enterprise Users, CAMS User List).
  5. Body Type: Identify the format of the message (Text or HTML). If HTML is selected, the body of the message must contain the appropriate HTML code for the email to display in that format.
  6. If this email message is to be made available to a specific user, identify that individual in the Private to User field.
  7. Use the Browse button to search for any documents that are to be sent as attachments along with the email.
  8. To use special fields select then paste into message – When creating the text of the email template you can include these special fields to personalize the email; greeting. first name, middle name, and last name are the available fields.
  9. Type your message in the message box. It is also possible to right-click in the message box and paste text and/or html code from another program into the body of the message.
  10. Click Add to save the new entry or Cancel to exit without saving.

Test your email:

Use the Test button on the Email Templates form to verify that your email is functioning properly. Enter the email address (typically your own) in the Send Test To field. This will provide you with the opportunity to see how the email will appear to recipients and to confirm that there are no technical issues preventing the message from being sent.
