User Defined Setup

In addition to the many data fields already available, CAMS also provides several User Defined fields which can be used to capture other data about prospects, students and constituents. The labels to these fields are configured according to your institution within the CAMS Manager module. Any information captured in the prospect area may be copied forward to the student area if appropriate.

Note: Please note that if a module is NOT listed below, then user defined fields are not yet available for that module.

To configure User Defined fields:

  1. From the CAMS Enterprise Home page, click CAMS Manager >Lookup Table Options >User Defined Field Setup. The User Defined Fields Setup window opens.
  2. Select Admission,  Billing, Registration, Development, Financial Aid, or Housing from the Select a Module drop-down list.

Note: Other CAMS modules display in the Select a Module drop-down list. These are present for future functionality but are currently not available.  

  1. Double-click to select a field from the above list. Keep in mind that type of field should match the kind of data you wish to capture. The User Defined Field Attributes window opens with the Module and Physical Field Name already populated with your choices.
  2. Enter the Display Label. This is what users will see on the window where the user defined field appears if Display on Form is selected.
  3. Enter the Field Description (Title). This should be descriptive of the field's purpose.
  4. To display the field on the window, click the Display on Form checkbox.
  5. Click the Required on Form checkbox to make this a required field that displays in the standard required format (red text). Display on Form must be checked in order to have this option available.
  6. If multiple User Defined fields are configured, you may select the tab order on the form. Note that this will not change the display order on the window, it will only determine in what order the tab will reach the field. Enter a number to in the Entry Order field to indicate tab order.   
  7. Click Update to save this information, or Cancel to exit without configuring a User Defined field.

The following Modules and their fields are currently available:

Admissions Module:

Note: If one of the Admissions Glossary lookup fields is chosen, you will also need to populate the corresponding UserDefinedGlossary1, UserDefinedGlossary2, or UserDefinedGlossary3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

The User Defined fields in Admissions are shared between prospects and students.

To access the User Defined fields in the prospect area click Admissions >Prospects >Add or Change Prospect >Awards tab >User Defined button.

To access the User Defined fields in the student area click Admissions >Students >Add or Change Student >More tab >User Defined button.

Registration Module:

Note: If one of the Registration Glossary lookup fields is chosen, you will also need to populate the corresponding StuStatusUDef1, StuStatusUDef2, or StuStatusUDef3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

To access the User Defined fields in the Student Status record click Registration >Academic >Status >User Defined button or Admissions >Students >Student Status >User Defined button.

Billing Module:

Note: If one of the Billing Glossary lookup fields is chosen, you will also need to populate the corresponding UserDefGlossaryBilling1, UserDefGlossaryBilling2, or UserDefGlossaryBilling3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

To access the User Defined fields in the Billing module, click the User Defined link at the top of the Billing tab in the Student Ledger at Billing >Maintenance.

Financial Aid Module:

Note: If one of the Financial Aid Glossary lookup fields is chosen, you will also need to populate the corresponding UserDefinedGlossary1, UserDefinedGlossary2, or UserDefinedGlossary3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

To access the User Defined fields in the Financial Aid module click Financial Aid >Maintenance >More tab then click the User Defined button.

Housing Module:

Note: If one of the Housing Glossary lookup fields is chosen, you will also need to populate the corresponding UserDefinedGlossary1, UserDefinedGlossary2, or UserDefinedGlossary3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

To access the User Defined fields in the Housing module click Housing >Maintenance then click the User Defined button.

Development Module:

Note: If one of the Development Glossary lookup fields is chosen, you will also need to populate the corresponding UserDefGlossaryDev1, UserDefGlossaryDev2, UserDefGlossaryDev3, UserDefinedGlossary1, UserDefinedGlossary2, or UserDefinedGlossary3 table in CAMS Manager >Lookup Table Options >Table Maintenance >Glossary with the appropriate values from which the user will select in the drop-down field.

To access the User Defined fields in the Development module click Development >Constituent >Manual Add(or Change Profile) >More tab then click the User Defined link.
