Term Calendar Lookup Table
The Term Calendar lookup table (CAMS Manager >Lookup Table Options >Term Calendar) is one of the most important tables in CAMS Enterprise. This table must be set up correctly for several areas of CAMS Enterprise and the Portals to function properly and to prevent reporting issues. Sub Terms may be added to Terms as an organizational feature. For example, you may have a fall term ranging from August to December with shorter sub-terms within that date range.
To apply attributes to Term Calendar values:
- From CAMS Enterprise Home page, click CAMS Manager >Lookup Table Options >Term Calendar.
- Enter a term in the Search for Term field then click Find to display that term, or click Find without entering any text in the Search for Term field to display all terms that have been set up.
- Right-click in the top Terms grid to add a new term or highlight a term for which you wish to create a sub-term then right-click in the bottom Sub Terms grid to open a detail window. Double-click an existing term or sub-term to modify.
- Populate the required Sort Term, Display Term, Term Start Date, and Term End Date fields and any other criteria desired.
- Check the Active Flag check box to include the term in sequential sort order in selection lists. If this is not checked, the term displays at the bottom of the list.
- If importing awards from PowerFAIDS, the corresponding PowerFAIDS POE Token must be defined.
- If your institution requires a State Reporting Code, supply the appropriate value.
- Check the Allow Student Online Registration check box to allow students to register via the student portal for this term. If this is not checked, students will not be able to register online for this particular term. Do the same for faculty using the Allow Faculty Online Registration check box.
- Check the Display in Student Portal, Application Portal, and Faculty Portal check boxes to allow users to see and select terms available in the portals.
- Click Add or Update to save. Additions and changes are saved immediately upon adding or updating the record. Click Cancel to exit without saving.
Term Calendar fields:
- Sort Term / Display Term – As
discussed above these fields are used to sort and build the term drop-down
list.
- Term Start Date – Date the term
starts.
- Term End Date – Date the term
ends.
- Active Flag – Determines if
the term is active or not. Can be used to prevent the term from displaying
in dropdowns so users cannot select that term.
- Powerfaids POE Token – Used
to determine what term CAMS Enterprise will display when importing Powerfaids
files.
- State Reporting Code -
Used to specify a code for state reporting. Not all states have this requirement.
- Allow Student On-Line Registration
– Allows the student to register on-line for the specified term.
- Allow Faculty On-Line Registration
– Allows the faculty to register students on-line for the specified term.
- Display in Student Portal –
Determines if the term will display in the drop-down list. If not selected
students will not see the term and will not be able to access the term.
This can help the registrar by preventing students from accessing the
course offering for the term before it is complete.
- Display in Faculty Portal –
Determines if the term will display in the drop-down list. If not selected
faculty will not see the term and will not be able to access the term.

offering for the term before it is complete.
- Display in Application Portal
Determines if the term will display in the drop-down list in the Application and Graduate Application Portals. If not selected applicants will not see the term and will not be able to access the term.
- Display in Contact Portal –
Determines if the term will display in the drop-down list. If not selected
contacts will not see the term and will not be able to access the term.
- User Defined – A free form field
that can be used for anything the institution needs.
- Census Date – A date field to
enter a census date for the term if required. This field is for reference only.
- Compulsory Term (ex. Not Summer
Term) – Used for NSC reporting. Determines which terms the institution
has that are considered compulsory for reporting. Normally terms like
Summer are not compulsory.
- Credit Unit – If using the SPEEDE Export, select the Credit Unit from the drop-down to define the Term for the SPEEDE Export. These drop-down values are defined by SPEEDE and are automatically populated by CAMS.
