Development Pledge Batch Transactions

The Development/Fundraising Batch Entry window allows you to add pledges to batches and proof batch transactions prior to distributing them to the constituent ledger.

Note: Mail Merge Export and Email Activities created from the batch will be considered Ledger Correspondence. This is important to know when you access Development >Reports >Correspondence. These activities will only display in the Ledger Correspondence report section. Mail Merge Export and Email activities created directly on the constituent’s account will be considered Constituent Correspondence and will only display in the Constituent Correspondence report section.

To add a pledge transaction (donations not yet collected) to a batch:

  1. Access the Development/Fundraising Batch Entry window by clicking Development >Batch. The Development/Fundraising Batch Entry window opens with the Batch List displayed.
  2. Double-click the pledge batch to which you wish to add a transaction, or create a new pledge batch, and then double-click that batch to open the Batch Detail window. Any transactions already residing in this batch display. If none display in the data grid, then no transactions have been added to this batch yet.
  3. Right-click in the data grid to open a constituent selection form. Use any of the available criteria to locate constituents, and then click Find. A list of constituents displays. Double-click the appropriate constituent record to open the Pledge Entry window.
  4. Select the appropriate Campaign towards which this pledge will apply (Campaign Type glossary table).
  5. Enter the Pledge Date, if different from the default of today.
  6. Enter the Pledge Amount.
  7. Click the box next to Thank You Ltr to automatically generate a Thank You Letter.
  8. Select the Frequency of the pledge (Development >Setup>Pledge Frequency Ref). The number of Installments automatically populates based on your selection. You may also enter the number of installments without using the Frequency field or change the Installment number as needed.
  9. Select the Pledge Type (Gift Type glossary table), Pledge Source (Gift Source glossary table), Restriction Type (Gift Restriction Typ glossary table), and Appeal Code (FundAppealCode glossary table).
  10. If the constituent wishes to pledge the gift anonymously, click the box next to Anonymous.
  11. If you want to create activities for generating Reminder Letters, click the box next to Reminder Ltrs. Reminder Letters must be set up for the Campaign Correspondence in Development >Setup >Campaigns/Memorial.
  12. Check Remind Indefinitely to have CAMS generate an additional Pledge reminder activity upon marking the last reminder activity complete from Ledger Correspondence. CAMS will continue to add a new Pledge reminder activity until the Pledge is closed, cancelled, or voided.
  13. If the Reminder Ltrs option is selected, the Reminder Details area of the Pledge window will become available.
  14. In the Reminder Details section, select a Recurrence Pattern of Daily, Weekly, Monthly, or Yearly then select the options needed for the Pledge Activities. Each Recurrence Pattern will have specific options available which will create Correspondence Pledge Reminder Activities for the number of installments entered.
  15. Enter the date in the Start Date field that you want set as the Activity Due date for the first Pledge Reminder Activity. This date defaults to 25 days from today's date.
  16. Enter any Notes.
  17. Click Add to save the pledge, or Cancel to exit without saving.
  18. Click the plus sign by the Constituent name in the Batch Detail window to verify the date of each Activity. If the number of installments or the Reminder Details are changed for a Pledge entry CAMS will recalculate all Pledge Reminder Activities for that transaction based on the changed number of installments or Reminder Details.
  19. When the Pledge batch is distributed, Pledge Reminder Activities are copied from the batch to the corresponding Constituent’s Activities.
