Course Schedule/Classroom Assignment

Course schedules can be assigned in either the traditional manner or by utilizing a flexible format. While standard scheduling typically follows the structure of same days/times each week, it may be necessary in some cases to schedule course times, classrooms, and faculty for different days each week, with varying times, and possibly different instructors for each of those sessions. See Flexible Course Schedule for more detail on this scheduling format. The Time Slot feature may be used to speed data entry. Instead of pursuing step 5, select the appropriate time slot and the offer days, start time, and end time are automatically populated. Time Slots are created and maintained in Registration >Offering >Setup >Time Slot Reference.

To define the class schedule:

  1. Click Registration >Offering >Offering Maintenance.
  2. Use the selection criteria to display a list of courses with which you wish to work.
  3. Click the Schedule button at the bottom of the window to open the Course Schedule/Faculty form. The top portion of this form will display the course information.
  4. Right click in the data grid to add a new record, or double-click on an existing record to make changes.
  5. Select Offer Days. If you need to include more than one day in your schedule, hold the <Ctrl> key while clicking the mouse on each day you wish to include, or hold the <Shift> key while clicking the mouse to select a range of days (click first desired day, hold <Shift> key and click the last day in the list you wish to include).
  6. Choose the room location using the search icon and selection filters.
  7. Enter the time the class will be meeting in the selected room for the selected days. Use the Up/Down arrows on your keyboard in order to enter the time in this field. Click Update.
  8. If the times you select conflict with another scheduled class or meeting room, a Schedule Conflicts for Room section displays in the lower half of the screen. You can click Add requested schedule anyway? (Conflicts to be resolved later.) checkbox to keep the schedule and later change this schedule or the conflicting room’s schedule or change the schedule for this class to prevent the conflict.
  9. Click Add/Update to save changes, or Cancel to exit without saving.

Note: If the Maximum Occupancy of the room (set in the Rooms reference table) assigned to the Course is less than the Maximum Enrollment value of the course then a warning message displays allowing you to cancel the assignment or to override the warning. If either the room’s capacity is zero or the course’s maximum enrollment value is zero, then CAMS assumes an unlimited seating and the warning is not displayed.

Internet Courses

Some Internet courses do not have set days and times that they meet but they still have an instructor assigned. They are available 24/7 for students to access and complete course work. To facilitate this no-schedule feature the registrar can select the Remove Schedule\Faculty checking option. This will allow the registrar to add a faculty assignment without having to add a course schedule.

This will automatically assign N/A to the Days and 12:00 to the Start and End Time fields. Current reports will display N/A when they see times set to 12:00 AM.
