Faculty Assignment

Faculty are assigned to courses through the Course Offering Maintenance window. Multiple instructors can be linked to a course. These instructions provide steps for assigning faculty in the standard manner. You can also assign faculty to Flexible Course Schedules as well. In addition to many reports that can be generated (term teaching reports, schedules, rosters, etc.) once linked, CAMS will be able to calculate faculty load based on the value supplied in the Weight Factor for Load in the Course Maintenance form, page 2.

To assign an instructor to a course:

  1. Open the Course Offering Maintenance window by clicking Registration >Offering >Offering Maintenance.
  2. Use the search filters to produce an appropriate list of courses from which to select.
  3. Highlight desired course and click the Schedule button at the bottom of the form. The Course Scheduling/Faculty form will open. The top of this form displays the course information for viewing purposes only.
  4. If you wish to assign faculty to the course without first assigning a room and time schedule, check the box labeled "Remove Schedule\Faculty checking". Without this checked, CAMS first looks for the existence of a room and time schedule for the course. If non existent, you will not be able to go any further in assigning faculty. (See Schedule/Room Assignment to set up course times and rooms.)

Warning: If the "Remove Schedule\Faculty checking" option is checked scheduling conflicts will not be identified. The record will be saved regardless of possible conflict.

This option will remain checked and functional until unchecked while scheduling other courses in your current session in the Offering Maintenance window.

Checking or unchecking this option will enable the funcitonality for your current Offering Maintenance/Scheduling session. Viewing a schedule in a future Offering Maintenance session will display the option unchecked, although the functionality originally selected for that schedule remains in effect. If changes are made where "Remove Schedule\Faculty Checking" should be enabled, you must check the box prior to making changes or additions.

Note: If CAMS Manager >Configuration >Misc is set to restrict faculty by campus or by course, a faculty name will not appear in the search window unless there is an active contract for the selected course and/or campus.

  1. In the Faculty Assignment data grid, right-click to add a new record or double-click on an existing record to make changes.
  2. Select a faculty member using the search icon and filters to produce a faculty list.

Note: Faculty must have been previously added through the faculty module in order to be available for selection here.

  1. Enter the Course Weight. This value is used in the calculation of Faculty Load.
  2. Supply the starting and ending dates during which this instructor is assigned to the course.
  3. Enter the Sort Order in which the faculty should display on reports (with "0" being the first in the display order). For example in a course where there are a faculty and a teaching assistant, enter a Sort Order of "0" for the faculty and a Sort Order of "1" for the Teaching Assistant. The faculty will then display before the assistant on reports.
  4. Select the Course Management Role for this faculty.
  5. Enter the instructor's office hours.
  6. Click Add/Update to save the record or Cancel to exit without saving.

Note for South African schools: A pop-up message will display to warn the user if the Faculty’s Actual Load plus the Clock Hours of the Offering being added will total near (within 10 hours) or more than the Faculty’s Max Load. No message will display if the Offering being added will exactly equal the Faculty’s Max Load. Course Weight is not considered in the load calculations.
